Cash desk, shifts and wallets
Close the cash drawer at the end of the day, with a balance for every wallet.
Available to: Owner, admin, reception and accountant
- 1
Cash desk and shifts: each receptionist starts her shift by counting the float in the drawer and entering it.
- 2
All day, every cash payment goes into the drawer by itself, and cash expenses and refunds come out of it.
- 3
At the end of the shift, count all the cash and enter it (or count by note and let the app add up). The count is blind: the receptionist doesn't see the expected amount before closing.
- 4
The system compares the count with what should be there; any shortage or surplus needs a reason. The difference is posted to the drawer so its balance matches the real cash, and it shows in the profit & loss. The owner sees every shift and its difference.
- 5
The next shift: the float should equal the drawer balance from the last close. If it differs (for example the owner took cash), give a reason.
- 6
Accounts: add the wallets you receive money on (InstaPay, Vodafone Cash, STC Pay…), then choose Transfer or wallet when taking a payment and pick the wallet. Each account has its own balance.
- 7
Transfers: record cash deposited in the bank, and owner withdrawals or deposits, so the balances stay right.
Tips
- Accounts, owner withdrawals and voiding are for the owner and admin; the accountant can record transfers between accounts. Reception only opens and closes shifts.
